Cleared4 by NIVHA
Compliance and evidence

Built to be examined afterwards

A workplace test is only useful if it holds up when someone questions it: an employee, a union representative, a tribunal or an auditor. Every part of a Cleared4 session is designed with that day in mind.

A completed session record: donor and collector signatures with fingerprints, evidence items, session details and the video recording status.
The completed record held by NIVHA. Sample data from the current build.

Trained collector on every session

The test is run by a NIVHA collector following NIVHA's written collection procedure. The colleague on site handles items under direction and never interprets a result.

Video recorded throughout

Recording starts when the collector starts the session and runs to the end. The person being tested is told before they consent, and the recording is kept with the record.

Consent you can play back

The consent statements are played as a fixed recording and confirmed on camera, so there is no doubt about what was said or agreed.

Identity checked on camera

Photo ID is shown to the collector and photographed into the record. Identity is confirmed by NIVHA, not by a colleague.

Signatures with fingerprints

The person being tested signs; the collector countersigns; a witness can sign too. Each signature is stored with a cryptographic fingerprint so any alteration would show.

Every action logged

Who raised the request, who claimed it, when each step happened and who changed what afterwards is written to an audit log that cannot be edited from the screen.

Screening and confirmation

A screen is a screen, and the record says so

Cleared4 reports the oral fluid screen and the breath test separately, with the breath reading kept in mg/L against your policy level. A non-negative screen is reported as exactly that. The collector explains on the call that it is not a confirmed result and that the employer may take precautionary steps in the meantime.

Confirmation is carried out by an accredited laboratory under chain of custody, arranged by NIVHA. The record shows the interim position until the laboratory result is in, and the confirmed result when it arrives.

Data protection

A privacy notice on every session

The person being tested is shown the privacy notice on the kiosk before consent, in plain language: what is collected, why, who sees it and how long it is kept.

Held by NIVHA, seen by the right people

Records are held by NIVHA Laboratory Services Ltd as the testing provider. Your admins see their own company's results in their account; nobody else's.

UK and Irish law

NIVHA works with employers in Northern Ireland and the Republic of Ireland and applies the UK GDPR or the GDPR as appropriate. We are happy to work through your data protection impact assessment with you.

No app to install

The kiosk is a web app on an iPad that NIVHA pairs to your account. Nothing is installed on personal devices, and the link the person being tested opens on their phone is for that session only.

Ask us the awkward questions

Bring your HR lead, your health and safety manager or your data protection officer to the demo. We would rather answer questions early.
